Getting started
Create an account, verify your email from the link we send, then create your first board from Boards. Set the board’s timezone, fiscal year end, and quorum rule in board settings — the compliance calendar and quorum indicator use them. Your home page, My Report, shows meetings, tasks, and consents across every board you serve on.
Inviting members
From the board directory, choose Invite, enter an email, and pick a role: officer (runs meetings, packets, and minutes), staff (votes and comments), or guest (view only, excluded from closed sessions). The invitee receives a single-use link that creates or connects their account. Owners can add officer titles, committee seats, and term dates afterwards, and can make any member an additional owner. The Individual plan does not allow additional members.
Recording and minutes
On the meeting page, Record captures audio in the browser (pause and resume as needed), or Upload audio accepts a Zoom, Teams, or phone recording. Audio is transcribed and then deleted; only the text transcript is kept. You can also paste a transcript. Choose Draft minutes to produce a draft with attendance, motions, votes, and action items. The secretary edits it (every save is a version), can circulate it for comment, records the approving motion at the next meeting, and signs on lock, which freezes the minutes with a content hash and produces the PDF. Nothing is official until a person approves it.
Motions, resolutions, and consents
Record motions with mover, seconder, and tally during the meeting; adopted motions become auto-numbered resolutions in the board’s resolution index. Between meetings, circulate a written consent and members sign with one click; it closes when the threshold is met.
Packets
Add agenda items to a meeting and attach documents to each. Build packet merges them into one PDF with a cover and table of contents. Publish notifies members and tracks who has opened it; publishing again after changes creates a new version.
Documents, email-in, and the Assistant
Upload to the governance vault or a custom folder; files are classified automatically and keep version history and comments. Every board has an email-in address (in board settings) — forward an attachment and it is filed for you. Search covers keywords and meaning, and the Assistant answers questions from documents, approved minutes, and transcripts with citations, limited to what you are allowed to see.
Billing
Every board is free for six months. After that, choose Individual ($29/month, one organizer) or Institutional ($249/month or $2,500/year, unlimited members) from board settings. Manage cards, invoices, plan changes, and cancellation in the billing portal. If a card fails you keep full access for 14 days while it is retried; if the trial ends without a plan, everything stays viewable and exportable — only new content pauses.
Data export and deletion
Owners can download the whole board — documents, minutes PDFs, and a JSON index — as a ZIP from board settings, and delete the board from the same page. You can delete your own account in Settings. Deletions enter a 30-day hold during which they can be reversed, then are permanently erased.
Security
Turn on two-factor authentication in Settings and keep your recovery codes somewhere safe. Access is enforced by role on every request, closed sessions exclude guests everywhere, documents are served through short-lived authorized links, and sensitive actions are recorded in the audit log. Read the Privacy Policy for what we store and for how long, and check status if something seems down.
